We are looking for a Senior Administrative Assistant / Office Manager to provide proactive and full administrative support to our senior management team and other team members in our Braintree, MA office. This position will interact with external clients, so this person must be professional and confident in their abilities.

Responsibilities

The essential responsibilities of this role include, but are not limited to:

  • Be the lead contact for the senior management team and provide proactive administrative support as required
  • Arrange travel and accommodation arrangements for senior management team, and assigned team members
  • Enter semi-monthly expense receipts in online portal for assigned team members
  • Be the lead contact for the building Property Management office, and provide support to ensure office runs smoothly:
    • Enter and follow-up on work orders
    • Coordinate repairs
    • Review invoices
  • Provide back-up phone support and coordinate phone duties with Receptionist during lunch or Receptionists’ absence
  • Schedule conference rooms and order breakfast and/or lunch for in-office meetings. Coordinate outside reservations for off-site lunch/dinner meetings
  • Work independently or closely with Public Relations Team and/or Executive Assistant to coordinate company-wide events (e.g. Holiday party; annual summer outing; golf events; power plant groundbreaking and dedication ceremonies, etc.)
  • Provide administrative support: Edit, print, track and/or manage various projects
  • Manage office printer stations including restocking supplies and toner recycling
  • Occasional travel as needed, 10%
  • Assist with other projects as needed

Qualifications

What we expect:

  • Associate or Bachelor Degree preferred
  • 5-7 years of prior office / administrative experience required
  • Strong computer skills and proficiency in Microsoft Office: Word, Excel, PowerPoint, Outlook
  • Ability to multi-task; and have strong organizational skills
  • Keen eye for details with the ability to meet deadlines
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills with an emphasis on superior customer service

  • Hours of Operation: Monday – Friday, 9:00 AM – 5:00 PM
